CWS Activity and File Naming Standards

Activity Naming Guidance

Activity Naming Conventions became available with Release 19, allowing program areas to configure default activity names for each activity type. Prior to this, the system named activities generically using the activity type followed by “submission”, or, if the activity was created internally, staff could set the name upon creation. Staff still set the file names for internal file uploads and the following guidance shall be followed.

  • Do not overwrite or change the beginning of the default activity name.

  • Keeping the original text ensures consistent searching, filtering, and tracking.

  • You may add details to the end of the name if needed.

CWS permitting activities are an exception. For permits, the activity name is set based on data entered in the permit application (form data replaces the default naming).

Standard File Naming Format and Additional Notes

Activity Type Name/Document Abbreviation-PWSID-YearMonth-Analyte/EntryPointName-Version # 

Example: MOR-MI0001234-202504-Well1-2 

Example: Chem and Rad Results-MI0002240-202508-PFAS

  • YearMonth should reflect the Year and Month that the file pertains to, not necessarily the submitted date of the file. 

  • For documents submitted via email, the email must be uploaded to the activity as General Correspondence and the Month and Year must match the documents enclosed in the email.

  • Analyte, EntryPointName ,and Version# may not be applicable in all situations.

  • Radiological Monitoring Results (Rads)

  • Bacteriological Monitoring Results (Bacti) 

  • Pumpage/Usage Annual Reports (PUAR)

  • Cross Connection Annual Reports (CCAR or XCON)

  • Boil Water Advisories (BWA) 

  • Consumer Confidence Report (CCR) 

  • Consumer Confidence Report Certificate (CCR Cert) 

  • Emergency Response Plan (ERP) 

  • Cross Connection Control Program (XCCP) 

  • Public Notice (PN) 

  • Disinfectant Residuals (MRDL) 

  • RTCR Sample Siting Plan or Bacti SSP (RTCR SSP) 

  • Disinfection Byproducts Sample Siting Plan (DBP SSP)

  • Lead and Copper Rule Sample Siting Plan (LCR SSP) 

  • Action Level Exceedance (ALE)

  • Distribution System Materials Inventory (DSMI)

  • Operational Evaluation Level (OEL)

  • Level 1 Assessment/Level 2 Assessment (L1A/L2A)

  • Water Quality Parameter Results (WQP)

  • Violation Notice (VN)

  • Source Water Protection (SWP)
