Yearly tasks to open up the SWP Grant Application season

Every year Configuration will need to be updated to launch the SWP Grant Application season. The Dynamic Form will need to be updated by system admins. This process does have a statutory financial deadline. The SWP Grant Application SME should reach out to System Admins by the first of April of every year to open the season.

Description

Every year, the SWP Grant Application has to be updated and ‘turned on’.

Form:

  • Update year in FormTitle field (current year + 1) remove date from title

  • Update year in Grant Year field (current year + 1)

Workflow:

  • Update year in the workflow name Remove yearly date from heading

  • Confirm new due date listed on the Fill out Application start step (the due date has been pushed back each year, but should start out as June 15th

  • Upload Supporting Documentation step update trigger dates

    • Unsubmitted Reminder notification sent 5 days before due date

    • automatic withdrawal 1 day after due date (they have till midnight)

  • Application Review step update trigger dates

    • Unsubmitted Reminder notification sent 5 days before due date

    • automatic withdrawal 1 day after due date (they have till midnight)

  • App Received Before Deadline step update trigger

    • automatic transition 1 day after due date (they have till midnight

  • App Received Before Deadline description update deadline to June 15

  • Revisions Requested step update trigger dates

    • automatic transition 5 days after due date

  • Set Available in Customer Portal to Can Create on April 15th of every year.
