Campground License Renewal Process

Licenses Creation

 

  1. If entity has MiCaRS billable customer- No action is needed.

  2. If entity does not have MiCaRS billable customer:

    1. Activity is assigned to Campground Program Administrator.

    2. Notification is generated for Administrator.

    3. Add Billable customer - review billable customer guidance if needed

    4. Once customer is added- Transition to Billable Customer Added.

  3. The system will follow one of 4 pathways:

    1. Renewal - Invoice Created on Transition

    2. Transfer Licenses is paid

    3. Initial - Invoice Created on Transition

    4. Set Licenses Type

Set Licenses Type Pathway

  1. If there is no licenses type, the activity is:

    1. Assigned to the Campground program Administrator.

    2. An Internal Task is generated for administrator.

  2. Set the License type and transition to Licenses Type is Set.

  3. Activity will now follow correct activity pathway.

Transfer Licenses is Paid

Confirming this with Amy - But Mary believes this route is when a Renewal License has already been paid, and the transfer comes in afterwords.
This route skips the waiting for payment step.

  1. If the Activity type modifier is Transfer, the activity automatically transitions to Licenses is paid.

    1. Activity is assigned to Campground Program Administrator.

    2. A notification is sent

    3. Submitted Date is set on activity.

  2. Activity is then automatically transitions to Review and Check for Inspection.

    1. Navigate to the Review and Check for Inspection section of this KBA

Renewal - Invoice Created on Transition

  1. Activity is automatically to campground program type step

    1. Campground fee is set before reaching this step.

    2. MiCaRS transition Queue Process is automatically run before reaching this step.

  2. DNR or State Forests are automatically Transitions to Waiting for Payment

    1. No action from CG Admin is needed

  3. Private or Municipals are automatically transitioned to Licenses Application and Invoice Packet Generated.

    1. Activity is assigned to CG Program Admin.

    2. Campground License Renewal Packets are generated

  4. If Licenses Application and Invoice packet are good - Transition to Waiting for Payment.

  5. If Invoice packet needs to be adjusted, make changes and transition to Create NEw Draft Invoice/Application Packet.

    1. What kind of things typically need to be fixed on these?

    2. Renew new invoice packet. if packet is good -Transition to Waiting for Payment.

Initial - Invoice created on Transition

  1. This activity is automatically created from construction permit.

  2.  

 


Waiting for Payment

  1. Reminds

  2. Late fee added

  3. will auto transition on payment

  4. Can closed

Review And Check For Inspection

From this step there are six possible transitions.

 

  1. If information is missing and entity does NOT have a Contributor - Transition to Email Owner for More Information.

    1. Activity Status will be More Information Needed.

    2. Transitions to Contacting Owner by Email step.

      1. Activity is assigned to Campground Program Administrator.

      2. Reach out to entity directly.

    3. If information is provided via email or phone:

      1. Update the information than - Transition to Information Provided

    4. If entity has a contributor - transition to Assign to Contributor/update task for info needed.

      1. Once transition:

        1. Assign activity to the Contributor - Contributor will get a weekly reminder notification until activity is transitioned.

        2. Communicate the information needed by creating a Task.

  2. If information is missing and entity HAS have a Contributor - Transition to More Information Needed.

    1. Once transition:

      1. Activity Status becomes Waiting on Applicant.

      2. Assign activity to the Contributor - Contributor will get a weekly reminder notification until activity is transitioned.

      3. Communicate the information needed by creating a Task.

  3. If it is discovered that there is a new owner Transition to There’s a New Owner!

    1. Activity will now be on the On Hold step.

    2. A Transfer Activity is Automatically created.

    3. Activity Type Modifier is set to Renewal with New Owner.

    4. When transfer Licenses is paid - Transition to Generate/Review License

      1. Navigate to Generate/Review Licenses section of KBA

    5. If campgrounds closes (and what else? missed payments? Bad inspections?) - Transition Activity to Closed.

  4. If (WHAT HAPPENS TO PUT SOMETHING ON HOLD????) Transition Activity to On Hold.

    1. when issues is addressed - Transition to Generate/Review License

      1. Navigate to Generate/Review Licenses section of KBA

    2. If campgrounds closes (and what else? missed payments? Bad inspections?) - Transition Activity to Closed.

  5. If Inspection is missing, or not approved - Transition to Pending Approved Inspection.

    1. Activity is assigned to Campground Program administrator.

      1. Notification is generated

    2. When Inspection is approved - Transition to Generate/Review License

      1. Navigate to Generate/Review Licenses section of KBA

    3. When Inspection isn’t approved, or camgpround closes transition to Oh Hold

      1. I do not know why things would go on hold from pending improved inspection for CGs, would you mind letting me know.

      2. - Transition to Generate/Review License

        1. Navigate to Generate/Review Licenses section of KBA

      3. - Transition Activity to Closed.

  6. If inspection is completed, Transition to Transition to Generate/Review License


Generate/Review Licenses

 

Please Note: if a campground has changed the number of sites after their license has been issued, you maybe need to;

  1. create a new fee that matches the new number of sites

  2. Run the MiCars Processes (this is run from the Operations Menu)

  3. Generate the documents from the invoice drawer.

Once the new invoice is created, please be sure to assign the activity to the appropriate external user, so they can provide payment.
