Learning About Claim Entity PINs
External users can now claim an existing entity in the MiEHDWIS system using the Claim Entity PIN.
Claim Entity PINs can also be added to templates as variables and sent to external users.
Locating a Claim Entity PIN
Navigate to the Entity Overview page.
Select the Details tab.
Locate the Information - General section.
A six-digit code will display under Claim Entity PIN.
Regenerating Claim Entity PINs
Individual Entity PINs Regeneration
If a single entity needs a new Claim Entity PIN, you can regenerate it from the Entity Overview page.
Note that regenerating a Claim Entity PIN will invalidate the previous PIN, which may have already been printed and mailed to someone.
CWS and NCWS should not be generating any PINs.
Navigate to the entity that requires a new Claim Entity PIN.
Select the Details tab.
Click the Edit button.
Please note, you cannot edit an existing pin. It must be regenerated.
Select the Generate Claim Entity PIN button.
A new Claim Entity PIN will appear in the Claim Entity PIN field.
Bulk Regenerating PINs
Bulk regenerating Claim Entity PINs will invalidate all existing Claim Entity PINs. Do not bulk regenerate pins without managerial and SME approval.
PINs should not be bulk generated for CWS or NCWS.
Navigate to Operations.
Select Processes.
Click + Run Process.
Choose the process to regenerate the Claim Entity ID.

Onsite Wastewater Management, Septage Waste Receiving Facilities, and Temporary Campground do not have Processes for generating new Claim Entity PINs.
The Creation of New Entities
CWS/NCWS
Creation of CWS and NCWS entities occurs in SDWIS. When an entity is created in SDWIS and transferred to MiEHDWIS, a Claim Entity Code/Pin will automatically be created for that new entity.
Pin creation is currently on hold for both CWS/NCWS activities.
EH Programs
Not all EH program areas will have the Claim Entity PINs. Programs excluded are:
Temporary Campground
Septage Waste Receiving Facility
OWM
Created by Internal User
No changes will occur in the entity creation process.
Once created, the Claim Entity Pin will appear on the details page.
When you check the Actions Drawer, you will see that an internal user generated the PIN.
Created by External User
The process for an external user creating an entity has not changed.
Once the entity is created, even in its proposed state, a Claim Entity Pin is generated.
When you check the Entity-Level Actions Drawer, you will see that an external user generated the PIN.
