Requesting "More Information" from an External User (EH Only)
There may be times when working through an activity that you notice information is missing. This could be while reviewing the file drawer or looking over information in a dynamic form. This article will walk you through the two options for requesting more information from an external user.
Requesting More Information
You’re on an activity in In Review status, reviewing the files in the Files Drawer. After your review, you determine that more information is needed. To request further information, click Transition, located in the Workflow card on the Activity Overview tab.
There are two routes for More Information Needed.
Option 1 - More Information Needed (for entities with Contributors)
Option 2 - Email Owner for More Information (for entities without Contributors).
Contributors should provide the additional information via MiEHDWIS, not email.
They should return to the activity in Waiting on Applicant status and not create a new activity for the revised submission.
Option 1 - More Information Needed (for entities with Contributors)
Only use this option if your entity has a Contributor listed in MiEHDWIS.
Click More Information Needed if the entity has a Contributor in the system.
This transition option will assign the activity to a Contributor and a task will be created for the external user.
Remember to send a Message in the Portal to communicate what revisions/information is needed.
Note the internal status of the activity changed to Waiting on Applicant.
Externally, the status is More Information Needed.
EGLE staff need to create a Saved Search/Dashboard item to look for things in the Waiting on Applicant status. See example below.
No tasks or assignments for EGLE are created when the activity is transitioned to the Contributor. The dashboard search will help keep track of items EGLE is still waiting on.
A Contributor must upload the requested information to the activity in Waiting on Applicant status and Resubmit (this will change the status back to In Review).
If a Contributor is no longer available to submit (or you mistakenly picked the wrong transition), click Information Provided.
This transition will send the activity back to In Review, where you can select a new transition. Continue on to Option 2.
Option 2 - Email Owner for More Information (for entities with no Contributor)
Only use this option if your entity does not have a Contributor listed in MiEHDWIS.
Click Email Owner for More Information if the entity does not have a Contributor in the system.
This transition option keeps the activity assigned to EGLE and EGLE must call/email the entity for more information.
Note the status of the activity changed to More Information Needed.
Optional: you could create a Saved Search to track items in the More Information Needed status, but the activity will remain in the assignee’s activity list.
When the owner calls/emails back, EGLE will need to return to the activity, upload the new information to the Files Drawer, and transition the activity by clicking Information Provided. This will change the status back to In Review.
If the entity establishes a Contributor that can upload documents, click the Assign to Contributor option. This will assign the activity to the Certifier, update the internal status of the activity to Waiting on Applicant and create a task in the Customer Portal for the external user.
The Activity will then proceed down Option 1.
Examples of Searches
Waiting on Applicant Search
To see all the activities that are waiting on a Contributor for more information, search by the “Waiting on Applicant” Activity Status (Modify the Entity and Activity Types to fit your needs).
This search will display the activities that are assigned to a Contributor.
Example More Information Needed Search
To see all the activities that are waiting on an Internal User for more information, search by the “More Information Needed” Activity Status (Modify the Entity and Activity Types to fit your needs).
This search will display the activities that are assigned to an Internal User.
Trouble Transitioning the Activity
It may be because there are open tasks in the Customer Portal. Before accepting an activity, make sure all tasks are completed/deleted.
