Introduction

There are two different types of contacts – Person and Organization. Both types of contacts allow for multiple phone numbers, email addresses and physical addresses. They both are created updated and deleted the same way. They are also both marked Active and Inactive the same way. The contacts differ in that Person contacts can be locked for editing, and Organization contacts contain a URL field, only one physical location, and one mailing address at a time. The information below uses Person as an example. 

Within the system, contacts are maintained centrally and can be used by all program areas. If contacts change, (new owner) the old contact link should be removed, and a new contact created and linked. Be sure to not edit the existing contact to the new name as it may be used by another entity.

Community Water Supply contacts are NOT currently in MiEHDWIS. These are still stored in SDWIS.

How to Create a Contact

  1. Click on Create from the top header menu and then choose .

  2. Choose Person or Organization

  3. Enter the contact information on the Edit Detail screen. You can enter multiple contact information for a single Contact by clicking the plus sign ((plus)). In addition, contact information can be deleted by clicking the minus sign ((minus))

  4. Click Save. 

  5. Contact overview page displays, and a message appears to let you know the information was saved.

  1. Click Contact Search. 

  2. The Contact Search screen appears. 

  3. Enter the appropriate search criteria. 

  4. Click Search. 

  5. The Search Results page appears. 

  6. Click on the Contact Name link to retrieve information.

  1. Click Edit

  2. Contact Detail page appears. 

  3. Make Edits. You can also make certain fields the default by clicking the radio button next to each Contact detail record. Default fields are shown bolded, sorted to the top and highlighted on the Detail page. 

  4. Click Save. 

  5. Contact Detail screen appears, and a message appears to let you know the information was saved.

Inactive 

  1. Click Edit. Contact Detail page appears. 

  2. Select Inactive in the status field

  3. The Contact details is shown into a read-only state. 

  4. Make Edits. You can also make certain fields the default by clicking the radio button next to each Contact detail record. Default fields are shown bolded, sorted to the top and highlighted on the Detail page. 

  5. Click Save

Contact 

  1. Click Edit. The Contact detail page appears

  2. Click Delete

  3. A confirmation dialogue will appear and ask if you want to delete the Contact. 

  4. Click Delete. Contact Search screen displays, and a message appears to let you know the record was deleted. 

How to Link a Contact to an

Entity 

  1. Click While on Entity Search and conduct an Entity Search. 

  2. Click on the Entity Name

  3. Click on the Contacts icon overview page, click on the Contacts drawer (🪪) on right side of screen. 

  4. The Contacts screen appears showing all Contacts linked to that Entity. 

  5. Click + Add

  6. Type in the Contact Name. 

  7. Enter the Role. 

  8. Choose if the Contact is a MiCaRS Billable Customer. 

  9. Click Add. The updated list of Contacts appears.

The contact must be created before adding them as a contact to an organization.

Organization 

  1. Conduct a Contact Search . Search on Organization Namefor an Organization

  2. Click on the Contact Organization Name

  3. The Organization Details appear. 

  4. Click on Members

  5. The Add Person to Organization screen appearsClick + Add

  6. Enter the Person Name and choose from the dropdown. 

  7. Click + Add. The Members screen appears showing all Contacts linked to that Organization and a message appears to let you know the contact was successfully added.
